How Much Bottled Water Does a Wedding Need?

Working out the number

Start with guests, days and weather. Everything else is an adjustment on top of that.

Then add 15–20% for staff, vendors, drivers, photographers, musicians and the decor team. They are on site longer than any guest, usually working, and are the group most reliably forgotten in a water count.

Worked example: 300 guests, two days, an outdoor April sangeet and an indoor reception. Day one at 5 bottles gives 1,500; day two at 3 gives 900; total 2,400, plus 18% for staff, so order about 2,850 — which rounds to 119 cases of 24.

Which size to use

500ml is the right answer for almost every wedding, and it is worth understanding why rather than just taking it on trust.

A 250ml bottle is elegant and finishes in two mouthfuls, so guests take a second, and your effective per-guest count doubles. It also produces twice the empties for staff to clear.

A 1 litre bottle is efficient on cost per litre and wrong for a standing function — nobody carries a litre bottle around a lawn, so they are opened, half-drunk and abandoned. Litre bottles work on dining tables and in guest rooms, not in a crowd.

500ml is one serving for one person: fits a hand, fits a table setting, gets finished. Use litres in hotel rooms for outstation guests and 500ml everywhere else.

Personalised labels: what works

A wedding label is doing something different from a corporate one. It is not brand recall — it is a small, repeated signal that somebody thought about the details, and it appears in a great many photographs.

• Names and date — The most common and most durable choice. It still reads well in a photograph five years later.
• A monogram — Works beautifully in foil. Keep it simple — fine detail does not foil-stamp cleanly.
• The wedding hashtag — Fine as a secondary element. Do not make it the largest thing on the bottle.
• Per-function labels — Different labels for mehndi, sangeet and reception is possible but multiplies setup. Usually better to run one design across all functions and vary the placement instead.
• Venue or a line of poetry — Reads well on the back panel where there is room to be quiet about it.

On stock: use BOPP film. Wedding bottles live in ice buckets and tubs, and a paper label in an ice tub is ruined in under an hour. This is the single most common regret in wedding water orders.

The timeline that actually works

1. Four weeks out — Confirm the guest count you will plan against and decide sizes. Send artwork or brief the label design.
2. Three weeks out — Approve the proof. It comes back within 24–48 hours; the risk is not our turnaround but a proof sitting unapproved while a family decides on a font.
3. Two weeks out — Production and delivery run 2–3 business days from approval, so this is the buffer, not the plan.
4. Delivery week — Confirm where the cases go. Venue store rooms are frequently locked, unstaffed, or not where the planner assumed.
5. Day before — Get the bottles into ice early. Chilling 2,000 bottles takes longer than anyone expects.

The compressible part of this timeline is production. The incompressible part is the approval conversation. Plan for the latter.

Things that go wrong on the day

• Nowhere to chill — Ask the venue how many bottles they can actually ice at once. The answer is often far lower than your order.
• No storage — 119 cases is a genuine volume of boxes. Confirm a dry, secure space before delivery, not on the morning.
• Delivery access — Farmhouse and banquet venues frequently have narrow approaches and no loading bay. Tell us in advance.
• Guest count drift — Counts rise more often than they fall. Order against your realistic upper number, not the invitation list.
• Leftovers — They keep. Ask for current stock dating if you want to use the surplus at a later function.
